Once again I will try to cover a lot of
ground and feel free to send follow up questions or concerns. I will respond to
Don's questions first.
1) Acknowledgement write-up
I will acknowledge contributions (equipment,
extra time and effort, etc.) in the invitation that goes in each attendees bag.
Please send me your request for acknowledgement.
2) What kind of marketing materials you can provide and logistics
Each vendor is to create a one page SAML
flyer that will be included in the OASIS press kit. Please make sure that your
technical person brings that flyer with them to the demo. They need to
give the flyer to Carol Geyer on Sunday evening or Monday morning
before the press conference. Please bring 50 flyers. The other vendor marketing
materials should be sent to the hotel (directions are printed in my email
dated 5/31) You will need to send 150 marketing pieces that will be stacked on
tables in the hospitality suite.
I sent information about the hotel in the
last email. The cost of the T1 line is $250, approx. $21 per
vendor. The phone is $300, and any long distance call is
prohibitive. Don Bowen and I agreed that each vendor should use the phone
in the hotel room or a cell. I have preliminary costs for food and I think
we will be able to get something very nice for $25-$30 per person x 200
(anticipated number). I was thinking desserts and coffee. Many other vendors
are serving alcohol so I don't think it is necessary. Originally, we told
the vendors that we anticipated the cost to each vendor would be around
$500 (not including air, hotel and conference passes) to participate in the
hospitality suite and that is the budget I am trying to conform to. Since OASIS is the primary contact
for the hotel, we would like to invoice each vendor $500 at this time.
This will allow me to order the food and cable. Please send me the name of the
person that OASIS should invoice ASAP. Please
let me know if this arrangement is not agreeable to anyone.

Dee is going to provide an update tomorrow I believe,but essentially Rob or
someone else was right when they said we can provide our own folders and a one
page (both sides) page for inclusion in the OASIS press kit. There are only
going to be about 50 or so press kits. Dee will tell us exactly how many we
need to print. Each vendor is responsible to print their own document and then
send it to Dee (she will describe this in her update).

3) Monitors & Network Gear
OK, good news first. Sun will be providing 12 monitors and the network gear for
the event (clapping). Now the bad news. The monitors will be 17" flat
panel so we will have less viewing area. All in all I hope you are still very
pleased to not have to go through the hassle of packaging and shipping a huge
monitor. I can guarantee you we just saved you a royal pain in the neck. You
may have to help lug one or two around to help me out, but that is a pretty
good trade :-)
I would
like to have each of you bring your own networking cable as this would greatly
simplify my life and help us avoid buying them. Given that the entire stretch
of tables will be less than 70 feet long we should all be able to get by with
50ft cables and some could probably get by with less.
4. West
Coast Dry Run @ Sun
I will send the directions to our campus in Santa Clara very soon, but we are
not far off of route 101 so it is easy to find whether you are coming from SFO
or SJC airport. We were going to be in a lab in one of our engineering
buildings, but the security would be so stiffling. Bathroom trips would require
a Sun employee :-( A second location, the "Mansion" is a great
building, but 20+ people and 20+ machines would turn it into a sauna. I'm
hoping to move it to SunU (the training building), but this is not confirmed. I need to know exactly what each company is planning
to bring in terms of people and equipment. Please send me that list asap.
I hope you can bring network cables for the dry run as well. Let me know if
that will be a problem.
There may
be things I'm forgetting, but this is all I can remember right now.
