Subject: Fwd: UPDATE - OASIS TC Platform Shutdown and migration schedule


The update to the OASIS system that was scheduled for the end of last year had to be rescheduled. It will now happen the week after next, during February 20-24. You might experience downtime trying to access OASIS e-mail and web tools during that time.

This upgrade is a very good thing. It will fix some e-mail deliverability problems that the old system has.

Hello TC leaders! Please note the new TC PlatformÂShut Down Schedule. There will be a few days of system downtime as we migrate 20+ years of member created content into a new reliable platform which may impact your TC schedule over the NEXT 2 WEEKS.

Please do not open any ballots from this point forward untilÂthe new system is up. ÂWe don't want lack of access to be an issue for anyone.

Here's the schedule:

20 - 24 February - TC pages and email lists will be offline Any effort to get to a TC page will meet a splash page blocking furtherÂaccess. Email messages sent to any email list will receive an auto reply with advice on when and how to send your message to the new system.

If your committee will meet 20-24 February you'll need a few extra steps:
  • Keep track of attendance in your meeting minutes so voting rights can be updated once the new system is active.
  • Email your members the proposed draft agenda and meeting information beforeÂ20 FebruaryÂto ensure everyone has access to the meeting links and all related docs before Kavi goes offline
  • Refrain from uploading any documents immediately before the shutdown to ensure everyone can download itÂ
When the new system comes online all URLS for legacy document, page, ballot will redirect to the new location which you'll want to bookmark.

The email archives (700k+ messages) will backfill into the new system over the next few days. When that is complete, any old mail archive URLs will redirect to the new location

There will be a series of messages coming from the new system introducing new navigation and tools. We'll also be sharing some how-to videos

If you rememberÂseeing messages about the pending migration before, the following will seem repetitiveÂ- it is. But since, the initial messages came so long ago, it's worth repeating:

Changes to Expect


The new platform combines all the workspace tools youâre using now, but in a modern web environment with a number of new features to improve both your platform user experience and ability to engage with the OASIS community. Key features include:


  • Mail systems that you can depend on! The new tools support and comply with major deliverability and anti-spoofing standards. This will eliminate many of the sending and deliverability issues your committee may be experiencing


  • Modern web interface and design for your committee internal work and public presentation of your work


  • A single combined platform for your Technical Committees, Open Projects, comment and other community engagement mail listsÂÂÂ


  • All resources created in the legacy Workspace system will be migrated and available cohesively with your new work in the new platform. All URL links for assets in the old platform will redirect to the new location


  • Your Workspace access and community account (used for form submissions, renewal processing etc) will be under a combined access control system and a single set of user credentials.Â



The Transition Schedule


Starting 20 February, there will necessarily be several days of system downtime. During the downtime you will not have access to your membersâ-only web pages or mail lists. The Project admin team will be working with you to ensure no ballots or key milestones will be impacted.Â

ÂPublic resources in key resources - i.e. the published standards on docs.oasis-open.org will remain available.Â


In the next few weeks we will be presenting the new platform and providing training for committee chairs and others who wish to be involved.
