SDD TC,
The spreadsheet noted in the original
e-mail below contains the list of actions that document owners need to
take to accomplish the document library reorganization that the TC desires.
The spreadsheet is currently sorted primarily by document owner. I think
that it should be reasonably self-explanatory, but by all means, please
contact me with questions.
Some hints/tips to get started:
- From the TC member (not public) page,
go to "Documents"
- In the pulldowns, the display ought
to default to "All Submitters", "All States", "All
Dates". I suggest leaving it like that, although if you find it easier
to apply filters, please do.
- Click "Open All Folders" (directly
beneath the pulldowns)
- IMPORTANT:
In EACH of the displayed folders, click "Show More" (button at
right of folder) -- this will ensure that ALL documents are displayed
- Find the documents you're responsible
for moving/updating in the spreadsheeet. The spreadsheet is sorted secondarily
by current folder.
- To perform the action to move/update
the document, click on "Manage" (right-hand side) for the document
in question.
- On the next screen, click the "Modify"
button (near the top)
- To change the folder, select the new
folder from the pulldown. To change the document's state, click the appropriate
radio button for "State".
- IMPORTANT: Please,
please, please UNCHECK the "Email Notifications" box ("This
Group..."). Otherwise, we'll all get dozens of e-mails during this
process (and the TC will know if you forget to uncheck the box! :-)
- Click "Submit Changes"
- Repeat for each of your documents
- If you like, send an e-mail to the TC
or just to me indicating when you're done. Please try to get to this as
soon as you can (ideally, this week) -- it shouldn't take long.
We'll call this Round 1, and hope that
it will be the only round necessary. I believe that the actions noted in
the spreadsheet accomplish what the TC approved in the Document Library
Organization proposal. If we find that the new result can be further improved
(for example, one thing that will happen is that our "Working Documents"
list will get much shorter, which is good; whereas our "Reference
Documents" list will get much longer, which is probably OK but we
can consider further when this exercise is done), then we'll do tweaks
after we complete Round 1.
But I do think this will make our documents
generally more manageable and save us time in the end (too bad we are doing
this so close to the end :-).
