Yes, we kind of got ourselves into a box.   It also says in the RoP that we
can change the size of the Member Section by majority vote, which leaves
open to question what the correct sequence is.   In this case, SUN formally
announced on the last call that they were dropping out, which meant our
board had to shrink by one.   The RoP says to keep the number of seats odd,
so we had to go down to 5.   Unfortunately, this all hit right at election
time, so the whole schedule is affected.

So, is this the correct sequence:   SC votes to change the RoP (in this
case, both the size of the board and the election date);  then we pass it
to OASIS board for approval;  then, if approved, we conduct the election
for the reduced number of seats?

For this type of change to the RoP, how much lead time would be required
for OASIS to approve?

George, SC:

While I have no objection to what you're trying to do with this action,
I should point out that both the number of seats on the SC as well as
the new schedule for voting are changes to the language of the member
section RoP which says:

Within one year of the formation of the Member Section and every year
thereafter, the Steering Committee will conduct elections for a new
Steering Committee. These elections will be held during the week of June
15, 2003.  The number of seats will be set at seven, with a maximum of
one representative from any member organization.

Formally, this change should be approved by the OASIS Board, as the
Board owns your RoP. I didn't know that you were going to conduct this
ballot so didn't have time to raise this with the Board at their meeting
last Thursday. The next Board meeting isn't until 30 July, but Patrick
can look into getting approval before then.

I doubt that the Board will have objections to allowing the RoP to be
changed in this regard, but it will take a little while to formally
effect this. Please don't conduct your election until we have this taken
care of.
