Can everyone visit the site who has not, and raise any concerns before EOB Friday? A new account has been set up for that purpose (user=axco, passwd=test123). Follow the instructions in Suzanne Karcher's email (resent during meeting by Nagwa). Give feedback by end of this week. 2) Any outstanding development issues are already being addressed by Documentum and Sun. 3) Karl is the administrator. He needs procedures for how to create/approve/reject a submission in the system. In general, Karl needs information on how to work with the system. Walter will write up procedures and send to Karl by EOB Monday, and Karl will go to gigantis (the QA box, which will be available through the launch) to check out how to do procedures. He will call Walter for any questions. This will be the training process. 4) Hosting site is not yet signed. Based on new information from Walter on the complexity of maintenance, Karl will now contact PKSIS with intent of signing contract for hosting by 6/1. This is a few days behind our latest schedule, but is not expected to impact the soft launch date as long as the machine can be shipped by Friday (contract must be signed before machine ships). 5) Guidelines for submission (submission criteria) need to be written. Jon will write up first draft by Saturday, 6/3 and send to group for review before 6/8 (soft launch date). 6) Licenses still need to be secured and/or sent to Karl by Friday for delivery to hosting site: iPlanet/LDAP (Simon) Oracle (Walter) DCTM (Walter (if not sent already) Also export form may be required for part of Registry. Walter investigating and will provide if necessary. 7) The IPR legal text must be submitted to DCTM for inclusion in the database. Laura will send by EOB today (5/31). 8) Documentation is needed to support the users, the hosting site and review process. Steve Casco can document the customized UI, but the system configuration and the standard documentation for the Reg/Rep processes will be needed by both the hosting site and xml.org. Walter to provide for the Registry and Registry- side applications. 9) Launch/Marketing readiness: a) We are leaving the portal UI the same (for the most part) for now. There will be no major architectural changes to the site for the time being. This is being planned but will not come about until the Fall. Given this, should the existing catalog site remain? xml.org can't resubmit these existing catalog data. It would have to be done by the original submitter. This can be dealt with after the launch. This means that there is no entry field for the submitter for the classification. This will have to be done by the reviewer (Karl) after the submission. This is not a showstopper, but the current interface for Karl is not easy to use, so Documentum will provide an updated back-end interface for Karl within a week of launch. Karl and Una/Walter to discuss. Process will be: The current UI will encourage the submitter to enter classification information into the Description field. Karl, using the back-end interface, will fill in the actual classification field based on the description (and other data) the submitter has entered. b) Carol will send out press/analyst schedule and any other marketing info she has (data sheet, briefing info, press/ analyst presentation, etc) by Friday. Sun and Oracle have contacted her for PR info but she hasn't heard from Documentum (Linda). Una to send mail to Linda with Carol's contact info. c) Simon: What about a White Paper? Also, what about supporting quote from MSFT? Laura to follow up on supporting quote. d) We must be careful how we present the site. We have cut quite a few corners and must make sure that people realize this is a first step, not the final result, and that we are doing this especially to solicit input from the industry. This should be viewed as a learning experience and we should maintain a vendor-neutral stance. To this end, Carol will write up the language and send out for all to review. e) Carol needs proposals from everyone for what they want for bragging rights, since this might affect the site. We will meet again tomorrow to discuss. Carol to write up list of 10 items that contributors would get. Michael set up meeting for 9am tomorrow to first discuss bragging rights, then any changes in the AIs for development/launch. 10) Based on today's discussion, the decision is a 'GO' for Reg/Rep for 6/12 (votes cast in favor by Laura, Michael, Una and Simon; none opposing).
