Subject: OASIS Standards Day Hosting Information


Hosting an OASIS Open Standards Day

The OASIS Open Standards Day program offers members the opportunity to
host a local event showcasing the array of Web services and XML work
being advanced within the Consortium. It is a great way to publicize
your organization's involvement in OASIS and increase local awareness of
and participation in Consortium activities.


Logistics:

Most OASIS Open Standards Days are one or two days in length, depending
on the number of speakers, breadth of the program, and size of the
audience. OASIS Open Standards Days can be held as stand-alone events or
scheduled in succession with other conferences or meetings with a
complementary focus.

Hosts of OASIS Open Standards Days are responsible for all pre-event
coordination and on-site logistics, including setting attendance fees,
negotiating with hotels or other facilities, processing registrations,
soliciting vendor sponsorship, etc. OASIS staff will assist in program
coordination and promotion of the event. Travel expenses for OASIS staff
participating in the event are covered by the host organization.

Program:
OASIS Open Standards Day programs follow a basic format, which may be
customized to fit your target audience and venue.

The standard program features a keynote by Patrick Gannon, OASIS
President and CEO, or another OASIS executive. Mr. Gannon's presentation
focuses on the sustainable business benefits to companies who adopt open
standards and includes a status of OASIS standards activities.

Other sessions may include 1) presentations on OASIS standards or
specifications by OASIS TC chairs or other members, 2) case studies from
end users in your area who have implemented OASIS standards, and 3)
interoperability demonstrations.


Guidelines:
To begin preparations for hosting an OASIS Open Standards Day, please
review the following instructions.

1. Appoint an event chairperson from your organization.

2. Determine a date and venue to attract maximum attendance.

3. Contact Dee Scur (dee.schur@oasis-open.org) with your proposal. OASIS
management will evaluate your plans to ensure we able to accommodate
your date and venue.

4. Once you have received OASIS approval, create a website to promote
the event and manage registration.

5. Issue a Call for Participation to solicite presentations from your
local target audience. OASIS will also announce the CfP to our
membership base.

6. Select speakers and assemble your program, ensuring that the majority
of presenters are members of OASIS and/or experienced implementers of
OASIS specifications and standards. Product pitches are not appropriate
for the program, although you may wish to include an exhibit area or
vendor-hosted reception as part of the OASIS Open Standards Day.

7. Review final selection of speakers and presentation schedules with
Dee Schur prior to notifying the selected speakers.


Promotion:
OASIS will employ a variety of resources to assist in promoting your
event.

*Your event logo and description, linked to your registration page, will
be posted on the OASIS website, http://www.oasis-open.org/events/, and
XML.org, http://www.xml.org/xml/calendar_listevents.jsp?EVENTTYPE=3, as
well as other OASIS-hosted calendars, (e.g., Cover Pages, ebxml.org,
etc.) as appropriate.

*Email announcements will be sent by the Consortium to the OASIS
members-only list (1,000 contacts) and the XML.org subscribers list
(10,000 names), as well as other OASIS-hosted lists as appropriate,
(e.g., ebxml-dev, SAML-dev, etc.)

*A brief description of your event, linked to your registration page,
will be posted on the OASIS homepage.

*Your event will be featured in OASIS-hosted e-newsletters, OASIS News,
which is sent to 2,500 members and opt-in subscribers weekly, and
XML.org Daily Newslink, which has a subscriber base of 10,000.
