Subject: How to best retain Voting Rigths

Hi all, this is to revisit some best practices wrt voting rights in our XLIFF TC. These are based on generic OASIS TC voting rights rules.
- If your name is not called during the roll call, ask the secretary or chair to add you to attendance
- If you arrive late announce yourself to secretary/chair. If you are unsure if your attendance was noted and recorded, you should do at least one of the following:
Even if the person in question attended but failed to take any of the above remedial actions, it is as if they did not attend from the point of view of the OASIS policy.
It would be unwise to change voting status retroactively (it could eventually invalidate meetings and/or ballots). So the latest contest opportunity is indeed approval of meeting minutes.
Also please note that sending regrets although polite and a very welcome best practice actually does not change anything on the attendance rule 3 out of 5 last meetings for gaining/retaining rights.
If you wish to retain voting rights over a prolonged period of time, where you cannot attend, you should ask the chair for a leave of absence. That way the non-attendance during the leave of absence does not count and you may resume voting after your return, even if the above report does not show 3 out 5 attendances.
